Required for leading real estate company who are undertaking significant construction projects in Dublin city up to €100m as part of their expansion plans.

This role is a great opportunity to join a very exciting company at an early stage in the development process, as well as an opportunity to use your experience to shape how projects can be efficiently delivered.

The Project Coordinator role covers the Site Assistant and Document Control functions.

The purpose of the role is to be the main point of contact for team information, communications and knowledge share for the team, head office, the client and contractors.

The role will involve liaising with external consultants to design and cost control projects and liaise with Project Management Team. 


  • Bluebeam - Design Collaboration
  • Reporting on Google Drive / Dropbox
  • Document Storage/Archive using MS Word, Excel, PowerPoint, Outlook etc

Document Controller - Duties

  • New consultant/contractors’ supplier paperwork processing.  
  • RAMS and insurance processing. 
  • Confirmation that all is in place prior to works commencing.
  • Process Contractor and Design Team weekly reports.
  • Collation and transmittal of minutes of meetings.
  • Collation of weekly reports – collection, filing, updating.
  • Photo uploading / management.
  • Master Document List (MDL) Tracking - Updating and coordinating documents ensuring that the most up to date documents are allocated to the appropriate project.
  • Update of Action Trackers and communication of same.
  • Lessons Learned/Process Improvements. 
  • Updates to master schedule.
  • Bluebeam / Smartsheet / MS transmittals.
  • Bluebeam / Smartsheet support and training.
  • Create/Edit Bluebeam/Smartsheet/MS design documents.
  • Attend and Assist with Contractor Site Kick Off Meetings.

Project Team Facilitator - Duties

  • Acting as first point of contact for the PM team.
  • Managing the PM and design team calendars.
  • General design team and contractor/suppliers queries/support.
  • Planned preventative maintenance schedule management.
  • PSCS uploading/downloading/filing.
  • General design team and contractor/suppliers queries/support.
  • Assisting Commercial Reporting
  • Cost plan processing and updating.
  • Issuing Purchase Orders (PO’s)
  • Assisting Programme / Planning Reporting
  • Updating programmes / planning masterplan – all project overview.
  • Coordinate Process Planning and Planning Document Tracking.
  • Assisting QA Reporting
